Estimating deserves your attention. Logging a call, locating an overdue invoice, following up on a document or assigning a task should not consume the evening after a day on site.

Start with the work, not a named assistant

The useful instruction is the outcome: “what is overdue?”, “log the call and give me a follow-up Thursday”, or “show me what this quote still needs.” The available actions and the resulting destination depend on the product surface and your role.

Do not build a routine around a particular model, a fixed action count or a promise that every request must be read back before any record can change. Those are implementation details that change as the product evolves. What should remain true is simpler: know the business record an action concerns, check the result, and give colleagues only the access their work requires.

Give recurring work a place to land

Use the business workspace for the records that drive the week: contacts and follow-ups, pipeline, quotes, invoices, documents and Books. HQ brings current priorities together, while the individual products are where the record is reviewed and changed. An assistant can help you get to the work, but the durable outcome is the updated record and the evidence attached to it.

For example, an overdue-invoice question should lead to the invoice and its payment history. A request to prepare a quote should lead to a draft where scope, exclusions, rates and terms can be checked. A request to send a certificate should lead to the document and recipient you intend. Keep the commercial decision with the commercial record.

Delegate access, not your password

Invite an office manager, partner or bookkeeper through the normal team access controls. They should have their own identity and the role that fits their work. That keeps activity attributable and lets the business continue when one person is away.

Use the morning view to choose the next task

Start with the current business picture: overdue receivables, upcoming obligations, pipeline work that needs attention and the cash implications that follow. Assign or work the item from its own record, where its context and history live.

Open the example business workspace and give it one real administrative task you would otherwise leave for the weekend. The test is whether the task ends with a record you can inspect and continue from.
