Before You Start: Get Your Domain

Every option below requires you to own a domain name (e.g., northshorecontracting.ca). If you don't have one yet:

  1. Register a .ca domain at Canadian Internet Registration Authority (CIRA) through a registrar like Namecheap, GoDaddy, or Cloudflare Registrar
  2. Cost: $10–$20/year for .ca, $12–$15/year for .com
  3. Recommended: Use the same domain for your website and email
  4. Tip: If you registered a numbered company, register a domain matching your trade name (the "doing business as" name)

If you already have a domain, you're ready to go.


Google Workspace gives you Gmail with your own domain — [email protected]. You also get Google Drive (30 GB), Google Calendar, Google Meet, and the full Google suite. This is what most small to mid-size construction companies use.

  • Business Starter: $7.20 CAD/user/month (30 GB storage)
  • Business Standard: $14.40 CAD/user/month (2 TB storage, recording in Meet)
  • Business Plus: $21.60 CAD/user/month (5 TB storage, advanced security)

For a one-person company, Business Starter at $7.20/month is all you need. Add users as you hire.

Step-by-Step Setup

  1. Go to workspace.google.com and click Get Started
  2. Enter your business name and number of employees
  3. Enter your existing domain (e.g., northshorecontracting.ca)
    • If you don't have one, Google can help you buy one
  4. Create your first admin email (e.g., [email protected])
  5. Choose your plan and enter payment details
  6. Verify your domain — Google will give you one of these options:
    • Add a TXT record to your DNS (recommended, easiest)
    • Add a CNAME record
    • Upload an HTML file to your website
  7. Set up MX records — Google will provide these exact records to add at your domain registrar:

  1. Add SPF record — Add this TXT record at your registrar:
    v=spf1 include:_spf.google.com ~all
    
  2. Enable DKIM — In Google Admin Console → Apps → Gmail → Authenticate Email → Generate New Record → Add the TXT record to your DNS
  3. Wait 24–48 hours for DNS propagation (usually much faster)

How to Add DNS Records (If You've Never Done It)

At Squarespace Domains (formerly Google Domains): account.squarespace.com → Domains → (your domain) → DNS → Custom Records → Add Record. Select the record type from the dropdown, enter Host and Data, then Save.

At GoDaddy: My Products → DNS → your domain → DNS Records → Add Record

At Namecheap: Domain List → Manage → Advanced DNS → Add New Record

At Cloudflare: Select your domain → DNS → Records → Add Record

The record types (MX, TXT, CNAME) will be options in a dropdown. Copy the values exactly as provided.

Option 2: Microsoft 365 Business

If your company uses Microsoft Office (Word, Excel, Outlook), Microsoft 365 makes sense. You get Outlook with your custom domain, plus the full Office suite.

Step-by-Step Setup

  1. Go to microsoft.com/microsoft-365/business and select a plan
  2. Enter your business domain when prompted
  3. Create your admin account
  4. Verify your domain by adding a TXT record to your DNS:
    MS=ms12345678  (Microsoft provides your specific value)
    
  5. Set up MX records:

Option 3: Zoho Mail (Free for Up to 5 Users)

Zoho Mail offers a free tier with your custom domain. It's a solid option if cost is a primary concern and you don't need the Google/Microsoft ecosystem.

Step-by-Step Setup

  1. Go to zoho.com/mail → Sign Up Free
  2. Choose "Business Email" and enter your domain
  3. Verify domain ownership via TXT record
  4. Add Zoho's MX records:

Limitations of the Free Tier

Option 4: Email Forwarding (Easiest Starting Point)

Email forwarding lets you receive mail at a professional address (like [email protected]) and have it delivered to your existing personal Gmail or Outlook inbox. You don't get a separate mailbox — it's a redirect.

When This Makes Sense

  • You just incorporated and need a professional address immediately
  • You're not ready to pay for Google Workspace or Microsoft 365 yet
  • You want to test a domain before committing to a full email platform

Provider Options

ImprovMX (Free up to 25 aliases):

  1. Go to improvmx.com
  2. Enter your domain and forwarding address
  3. Add ImprovMX's MX records and SPF record to your DNS
  4. Create aliases (info@, hello@, etc.)

Cloudflare Email Routing (Free, unlimited):

  1. Your domain must use Cloudflare DNS
  2. In Cloudflare Dashboard → Email → Email Routing
  3. Add destination addresses and create routing rules
  4. Cloudflare automatically adds the required DNS records

How to Send FROM Your Professional Address (Gmail "Send As")

Forwarding handles incoming mail. To send mail that shows your professional address as the sender:

  1. In Gmail, go to Settings → Accounts and Import → Send mail as → Add another email address
  2. Enter your professional address (e.g., [email protected])
  3. Uncheck "Treat as an alias" if you want replies to go to this address
  4. Gmail will send a verification email to that address (which forwards to your Gmail)
  5. Click the verification link
  6. Now when composing, you can choose which "From" address to use

Option 5: Email Through Your Web Host

If you're hosting a website with providers like SiteGround, Bluehost, or HostGator, basic email hosting is often included with your plan. The quality varies significantly — these are generally fine for a few mailboxes but lack the features of dedicated email platforms.

Check your hosting plan's control panel (usually cPanel) under "Email Accounts" to see if this is available.


DNS Records Explained (In Plain English)

Every email option requires adding "DNS records" to your domain. Here's what each type does:

DMARC: Add This Regardless of Which Option You Choose

After setting up SPF and DKIM, add a DMARC record to prevent spoofing:

Value: v=DMARC1; p=quarantine; rua=mailto:[email protected]

This tells receiving mail servers to quarantine emails that claim to be from your domain but fail authentication, and to send reports to your admin address.

First Employee / First Big Client

5+ Employees / Enterprise Clients

Consider Microsoft 365 Business Standard if your clients are in the Microsoft ecosystem (common in large-scale construction). Otherwise, stay with Google Workspace and add users as needed.

20+ Employees

At this scale, you likely need IT management. Both Google Workspace and Microsoft 365 offer admin consoles for managing users, security policies, and device management. Consider engaging an IT provider for setup and ongoing management.


Common Mistakes to Avoid

  1. Using your personal email for business — Always separate personal and business communications
  2. Not setting up SPF/DKIM/DMARC — Your emails will land in spam folders. Every option above includes these steps for a reason
  3. Forgetting to renew your domain — Set up auto-renewal. If your domain expires, your email stops working immediately
  4. Creating too many addresses too early — Start with 2-3 and add as needed. Each address you create is one more you need to check
  5. Not backing up email — If you leave a provider, export your emails first. Google Takeout and Microsoft's export tools handle this
